PRIVACY POLICY

Applies to: The website theclash.uk (the "Site"), the Minecraft server TheClash.uk (the "Server"), as well as any other related products and services that refer or link to these legal terms (the "Legal Terms") (collectively, the "Services").
1. WHO WE ARE

2. WHAT WE COLLECT AND STORE
We store the following information for security, moderation, and service operation.
A) Account identifiers:
- Minecraft UUID
- Minecraft username
B) Network and security logs:
- IP address history associated with logins, including timestamps
C) Server activity logs:
- All in-game chat messages, commands issued, and server events, logged automatically by the Minecraft server software (Paper). Logs include the username, action, and timestamp. Logs are stored in compressed (gzip) format as standard practice.
D) Moderation records:
- Ban history (status, reason, timestamps, duration if applicable)
- Mute history (status, reason, timestamps, duration if applicable)
3. WHY WE COLLECT IT
We use the data listed above exclusively to:
- Identify accounts and prevent ban evasion
- Detect and respond to abuse, cheating, and harassment
- Review reported incidents and enforce server rules
- Maintain server stability and diagnose technical issues
- Protect the security and integrity of our infrastructure and community
4. ANALYTICS
We use Cloudflare Web Analytics on the Site to understand aggregate traffic patterns (e.g. page visits, referring URLs, approximate location). Cloudflare Web Analytics is privacy-focused and does not use cookies or track individual users across sites. No personal profiles are built from this data.
We may in the future add additional analytics tools (such as Google Analytics) to the Site. If we do, this policy will be updated before any such tool is enabled, and any required consent mechanism will be put in place.
5. WHERE THE DATA IS STORED
Data is stored on server infrastructure hosted by Hetzner Online GmbH, located in Germany. Data stored in their systems is subject to German and EU law, including the GDPR.
6. SHARING AND DISCLOSURE
We do not sell personal information.
We may share data only with the following service providers that
help us operate the Services, under appropriate safeguards:
- Hetzner Online GmbH (Germany) — server infrastructure and hosting. Data processed within the EU. Privacy Policy: https://www.hetzner.com/legal/privacy-policy.
- Cloudflare, Inc. (USA) — DDoS protection, DNS resolution, and traffic analytics. Acts as a data processor under the EU–U.S. Data Privacy Framework (DPF). Privacy Policy: https://www.cloudflare.com/privacypolicy/.
- Discord, Inc. (USA) — community platform operated separately from the Server. Players interact with Discord under Discord's own terms. Acts as an independent controller. Privacy Policy: https://discord.com/privacy
- Mojang Studios / Microsoft Corporation (USA) — Minecraft account authentication and username/UUID verification, performed automatically when players connect to the server. Acts as an independent controller for Minecraft account data. Privacy Policy: https://privacy.microsoft.com/privacystatement.
We may also disclose data if required by law, or to protect the
rights, safety, and security of our users and our Services.
7. RETENTION (HOW LONG WE KEEP IT)
We keep data only for as long as necessary for the purposes described above. Our current retention periods are:
- IP address / login logs: up to 24 months
- Server activity logs (chat messages, commands): up to 24 months
- Moderation records (bans, mutes): up to 24 months after expiry
- Account identifiers (UUID, username): retained for the duration of the active account relationship; deleted within 24 months of confirmed account closure or last activity.
- Cloudflare (DNS & traffic analytics): Aggregated traffic and DNS query data is retained by Cloudflare for up to 30 days. Cloudflare processes visitor traffic data (including IP addresses) as our data processor under their Data Processing Addendum. We may retain relevant records longer if needed to resolve active security incidents, ban evasion cases, chargebacks, or disputes.
8. SECURITY
Access to personal data is restricted to the operator and any explicitly authorized personnel.
9. YOUR RIGHTS
As an EU/EEA resident, you have the following rights under the GDPR:
- Access — request a copy of the personal data we hold about you
- Correction — request correction of inaccurate information
- Deletion — request deletion of your data, where we are not required to keep it for security or legal compliance
- Objection — object to processing based on our legitimate interests
To submit a request, contact us at info@theclash.uk and include your Minecraft username and/or UUID. We may require reasonable identity verification before fulfilling a request.

10. CHANGES TO THIS POLICY
We may update this policy from time to time. The "Last updated" date at the top reflects the most recent version. If changes are material, we will notify users via the Site or Discord before the changes take effect.
